Organizational Structures

Company Code
A company code is the smallest organizational unit for which a complete self-contained set of accounts can be drawn up for purposes of external reporting. At present, IDES consists of eleven company codes. Each company code fulfills a specific business task.


Company
A company is the smallest organizational unit for which individual financial statements can be drawn up (in accordance with the appropriate trading laws) for purposes of external reporting. A company’s financial statement forms the basis of a consolidated financial statement.

A company can consist of one or more company codes. In IDES, however, each company consists of one company code.

Subgroups
A consolidation group is called a subgroup if the consolidation units are companies. The IDES group consists of three subgroups: IDES Europe, IDES America, and IDES Asia. The IDES group has a centralized head office. The subgroups comprise the following companies:

Credit control area
A credit control area is an area responsible for granting and monitoring customer credit. This credit is monitored across all company codes. The IDES system contains our credit control areas:

Business areas
A business area is an organizational unit of financial accounting that represents a separate area of operations or responsibilities within an organization. Financial accounting transactions can be assigned to a specific business area. As a legal entity, the company code represents the company that draws up financial statements. You can also use the business area to form organizational units which extend beyond a company code and which represent a separate area of operations or responsibilities within an organization. The business area forms internal structures for external reporting. This enables you to report on the profit and loss (P&L) statement and selected balance sheet items for product lines or regional structures.

Financial Accounting (FI)

Overview
The Financial Accounting functions are divided into the following areas:
* General Ledger Accounting (FI-GL)
* Accounts Receivable Accounting (FI-AR)
* Accounts Payable Accounting (FI-AP)
* Asset Accounting (FI-AA)
* Special Purpose Ledger (FI-SL)
* Consolidation (FI-LC)

Accounts Receivable Accounting
Accounts Receivable Accounting is part of the Financial Accounting component and is used to efficiently regulate and monitor business transactions with customers. The IDES system contains approximately 70 customers in company code 1000 (Germany).

Most of the customers in company code 1000 (Germany) are maintained centrally, and belong to an IDES sales organization, 1000 (Frankfurt), or 1020 (Berlin). You will find a list of all IDES customers (customer master data) in Appendix B.

Accounts Payable Accounting
Accounts Payable Accounting is used to manage accounting data for all vendors. This data is transferred to Accounts Payable Accounting by means of the integrated business processes for invoice verification. Payments can be generated automatically for invoices that have been released. These payments are made by the due date.

Most of the vendors in company code 1000 (Germany) are maintained centrally, and belong to an IDES purchasing organization, 1 (Europe), or 1000 (Germany). You will find a list of all IDES vendors (vendor master data) in Appendix B.

Asset Accounting
The planning and monitoring of fixed assets for external and internal accounting is becoming increasingly more important as a result of progress in technology. In addition to the pure accounting and financial statement aspect of Asset Accounting, many of the requirements for Controlling and monitoring in Plant Maintenance are affected. You also want to reflect the increasingly complex requirements for group accounting at national and international level precisely but as flexibly as possible.

Special Purpose Ledger
The functions in the Special Purpose Ledger enable you to work with customer specific
ledgers. These ledgers contain factors from additional account assignments, and are used for company-specific reporting purposes. Validation and derivation functions are available for all customer-specific ledgers. Ledgers are fully integrated with the other functions in Financial Accounting.

The IDES system contains the following ledgers:


Consolidation

This involves consolidating the individual financial statements of all internal trading partners to produce consolidated financial statements. These consolidated financial statements should portray finances, investments, and revenue as if all the companies involved were a single company.

The consolidated entity in the IDES system is the IDES corporate group, which comprises the following three IDES subgroups: IDES Europe, IDES America, and IDES Asia.

A ”stand alone” example has also been created in the IDES system. This example shows how individual financial statements that come from an external database are consolidated in the SAP System. The model that is created for this is separate from the IDES model. Data is imported from external databases into the IDES clients, where it is consolidated to form a separate corporate group.

The required definitions and master records of the companies and subgroups are defined in the Consolidation system (FI-LC).

Before you can consolidate this data, you must transfer financial statement data to the Consolidation system and make the standardizing entries and conversions required. Consolidation involves the following steps:
* Making standardizing entries
* Currency translation
* Eliminating corporate group payables and receivables
* Eliminating intercompany profit/loss in inventory
* Eliminating intercompany profit/loss in transferred assets
* Consolidating investments

Technical Information

The IDES system contains model users with predefined authorization profiles. These authorization profiles have been tailored to suit the needs of all those who work with the IDES system. The following users and profiles are available so that you can create users of your own:



The IDES system also contains scenarios that involve third-party software products. If, for example, you are working through or analyzing scenarios that involve Internet components, you will need to install additional modules and/or objects. All the components you require are stored in the shared folders of the IDES system (client 800), and come with installation instructions.

Ordering IDES You can order IDES via your local contracts department, giving the relevant installation number or consult directly with IDES development.

Information regarding remote access to the IDES system in connection with our Customer and Partner Systems (CPS) is available directly from IDES development.

New Dimension Products

Your local IDES installation can be linked with an IDES B-to-B System and thus expand the procurement of the IDES group into B-to-B scenarios.

With an IDES BW installation you can analyze BW-specific examples. Alternatively, in connection with your IDES system, you can make the integration between the R/3 System and BW transparent.

The IDES data and processes are prepared so that the logistics processes can also be expanded to APO examples. So, with a local APO installation you can discuss, with the IDES data, the optimization and utilization potential in APO.

Cross-Application Components

Internet Application Components are solutions that connect the R/3 System to the Internet. IDES contains the most popular distribution scenarios and interoperability scenarios for the Consumer-to-Business, Business-to-Business, Intranet, Employee Self Service and Retail Store areas.

The ALE functionality of four R/3 Systems linked up to each other is simulated in the IDES system using four different clients. Special clients for sales, production and warehousing are set up here.

Technology involving extensive workflow processes that reflect real-life situations are available for all company areas in the IDES system.

Human Resources

In the IDES system, the Human Resource Management component (HR) is divided into the areas of personnel administration, personnel organization, and personnel planning. All these HR areas are fully integrated into all departments in the IDES system. The American, German and Japanese subgroups are set up so that payroll accounting can be performed; the payroll results are then passed on to Accounting.

IDES Business Processes

All the business processes in IDES are complete business processes. They include all the logistical functions you require (Purchasing, Inventory Management, Production, Sales and Distribution), integrated into Accounting. In addition to the Financial Accounting functions, you can also use Controlling functions based on overhead costs, costing and profitability analysis. The processes are complemented by Human Resource Management functions and concluding management reports.

IDES contains fully integrated and documented scenarios for the following industry solutions: SAP Aerospace & Defense, SAP Automotive, SAP Banking, SAP Chemicals, SAP Consumer Products, SAP Engineering & Construction, SAP High Tech & Electronics, SAP Pharmaceuticals, SAP Retail und SAP Service Provider.

IDES online documentation can be accessed directly from the Q&A db (Question & Answer database) in ASAP. It is therefore possible, directly from a group of Questions in the Q&A db, to analyze the possibilities in IDES and to present them live in the system.

Each product and product line represents a specific type of planning and shop floor control. IDES contains all the resources required for manufacturing all kinds of products. These resources are assigned to the products in question in bills of material and routings. Fully integrated processes are in place in IDES for producing and selling the following products:



The Financial Accounting and reporting functions available in IDES comply fully with legal requirements. The hierarchical structure of the IDES corporate group illustrates this ideally.

The subgroups function according to the same principle but also take into account the business practices and legal regulations that prevail in their own specific region.

Depending on the company in question, controlling in the IDES system involves scenarios ranging from simple cost accounting structures to a fully rounded controlling model that includes overhead costs, product costs and profitability analysis. The quantity flows and value flows for Europe are handled in conjunction with closely related components such as Production Planning and Materials Management. They mirror processes involving the planning, performance and evaluation of business processes. Profitability Analysis and Enterprise Controlling also provide you with flexible, online reporting tools for conducting contribution margin analyses on the basis of market segments, and analyses of internal and external success factors.

The IDES Organizational Structure and Corporate Structure

The IDES group comprises four areas: IDES Industry, IDES Retail, IDES Services and IDES Banking. Each of these areas consist of subgroups which in turn consist of separate companies. The IDES Industry area comprises, for example, the subgroups IDES Europe, IDES America and IDES Asia. Each of these subgroups consists of separate companies.



Each of these companies has a clear-cut business task within the corporate group. Furthermore, each company is organized in accordance with the legal and country specific requirements of the country in which it is situated. In the companies belonging to the IDES Industry area, industry-specific sales, production, purchasing and accounting processes are presented. The American company and the German company are, for example, defined as producing entities. The French subgroup is solely a sales and marketing entity, whereas the Mexican subsidiary is used to show how the material ledger is used in countries with high inflation rates. The Retail area consists of commercial companies resident in America and Germany which in turn are divided into other concerns. All common commercial processes are shown here. IDES Service illustrates a consulting company resident in America. Here consulting services, amongst other things, are sold, delivered and have their return assessed. The IDES Banking area consists of two banks resident in the USA and Germany. The processes shown here concern typical banking procedures which are based on the standard R/3 System.

IDES Overview

The organizational data contained in the IDES system is maintained and updated by the IDES development team. This team develops planning scenarios with various conditions and aims, performs period-end closing procedures, and generates transaction data so that the information systems in all areas are a true reflection of real-life business. New business scenarios are being added constantly to clearly depict and elucidate the functionality involved.

The R/3 System training courses offered by SAP AG are based on IDES data. Data for the exercises and demonstrations contained in these R/3 training courses is available in the IDES system. This means that course attendees can then use their training materials to work their way through examples and exercises in the R/3 IDES system, and consolidate what they have learned in their own time. They can also explore the system on their own, and thus further their knowledge of it.

IDES is available (in accordance with the conditions set out in the license agreement) free of charge for all SAP AG customers and partners in possession of a valid license. IDES systems are delivered as new installations and can be ordered from SAP AG as a release of an existing installation.

A remote link to the IDES systems in all currently existing releases is available in Walldorf (Customer and Partner System [CPS]).

The IDES system is also available on the Internet from release 4.6 upward. You can work in the IDES system on the Internet without having to install any additional components. The systems reflect the components of the different industry solutions and enable you to expand the R/3 System. See the SAP homepage sap.com for all

A laptop version of IDES is also available so that sales staff and consultants can make flexible use of the R/3 model company when they are on the move. The entire R/3 IDES system is preinstalled on a notebook. The notebook can be used without further system or administrator training. With the development of notebook-specific programs to start and stop the database and the R/3 System, each end user can use their own personal R/3 System.

IDES is available for every release. Hot packages for releases can be imported into IDES, but it is not possible to upgrade to a new release. This means that each new IDES release has to be re-installed. This is the only feasible way of ensuring that IDES users receive new, high-quality master data, transaction data, Customizing settings and documentation that have been tried and tested.

IDES is available in English, German, French, Japanese, Spanish, and Portuguese. This means that you can access all R/3-specific data, and special IDES features such as Customizing, short texts and long texts in all these languages.

The IDES Model Company

The Concept Behind IDES


The International Demonstration and Education System (IDES) contains a fullyfledged model company that has been set up in an R/3 System. The model company is based on a standard R/3 System. The IDES corporate group comprises a number of companies, each with predefined business tasks. All of these companies can be used individually, or in interaction with each other, to demonstrate how the R/3 System is integrated, and the range of functions that are available.

IDES is used principally in internal and external training courses, self-learning programs, and for presentations. It aims to prepare project team members and end users for using the R/3 System in practice. The IDES system provides an ideal learning environment: users get to work in a system that has been fully customized, and contains real-life master data and transaction data. The system further facilitates the transfer of knowledge by providing extensive data descriptions and process descriptions for cross-application business processes.

The realistic business processes of the company group have been set up as self- Online documentation learning units in IDES. The online documentation in IDES plays a central role in this self-learning process. Since integrated process flows are already defined in the system, users can use the IDES online documentation to familiarize themselves gradually with the core functions in any of the R/3 components. Detailed process descriptions and realistic business data mean that even beginners and users without detailed R/3 knowledge can familiarize themselves quickly with the R/3 System. This online help can also be used as a basis for developing internal training courses and holding R/3 presentations.

IDES Logistics

A variety of products are manufactured and sold using the different organizational units within the Logistics area. IDES provides all the resources required for production and assigns them to the corresponding products through bills of materials (BOMs) and routings. Each product or product group represents a particular production type. IDES contains fully-integrated business processes for the production or sale of the following products or product groups:

You can use IDES to create your own prototypes for business processes. As soon as you are familiar with the SAP System business processes, you can adapt IDES to meet your own individual requirements. The IDES enterprise structure helps you create business scenarios that reflect your own working environment.

You can then implement core business processes for your own company and analyze the various solutions. And IDES offers the additional advantage that you do not need to start from scratch each time. You can use existing IDES processes as a basis, then simply add organizational units and master data step by step until you have created your new, personalized business process.

The Structure of the IDES Group

The IDES group comprises four subgroups. The European subgroup consists of five companies, North America has two. Latin America and Asia each consist of one company. Each of these companies has its own clearly defined business objectives within the consolidated group and is organized according to local business practices and legal requirements. Consolidation takes place across the financial areas. For example, the French subsidiary operates solely as a sales company, or in Mexico, we represent high-inflation methods and the material ledger. The American and German subsidiaries produce goods, as well as carrying out purchasing and sales activities. Accounting and Human Resources for each individual company have been adapted to meet the particular business objectives. Germany and the United States, for example, have been set up to use flexible standard costing, whereas the United Kingdom uses static standard costing based on full costs.

IDES and Training

Many of the demonstrations and exercises used by SAP for the R/3 System training program are based on IDES data. IDES is the perfect compliment to the SAP training program. It enables you to revise training exercises and improve your understanding of the many functions of the R/3 System.

The IDES Release Strategy

A new version of IDES is available with every correction release. It is not possible to upgrade an existing IDES version to a new release. You can, however, install service packages for the corresponding correction release. This means that every new IDES Release involves a new installation. The IDES Release Strategy ensures that you always get new master data, transaction data, customizing functions, and documentation that are tested and checked for quality.

Introduction to IDES

IDES – the "Internet Demonstration and Evaluation System" in the R/3 System, represents a model company. It consists of an international group with subsidiaries in several countries. IDES contains application data for various business scenarios that can be run in the SAP System.
